Situation
The organization operated a complex on-premises Microsoft Exchange environment supporting corporate offices, regional operations, and FPSO (Floating Production Storage and Offloading) vessel operations across multiple locations. The environment consisted of 21 Exchange servers, 78 databases, approximately 15,245 recipients, and 2,321 enterprise mailboxes distributed across 17 office locations and marine operations.
Legacy messaging and collaboration environments, decentralized administration, Active Directory inconsistencies, excessive public folder dependencies, and fragmented operational standards increased operational complexity, administrative overhead, governance challenges, and business continuity risk across the organization. The organization required a secure, scalable, and standardized Microsoft 365 environment aligned to enterprise communication, operational continuity, and marine operational requirements.
Approach
ProgressIT led an enterprise Exchange modernization and Microsoft 365 transformation initiative focused on modernizing enterprise communication services, strengthening governance controls, improving operational resiliency, and establishing scalable operational support models across corporate and marine operations.
Key Initiatives
- Developed and executed a phased enterprise migration strategy transitioning corporate offices and FPSO operations from on-premises Exchange to Microsoft 365 Exchange Online
- Performed enterprise Active Directory cleanup activities to improve account accuracy, directory consistency, and administrative alignment across the organization
- Implemented enterprise governance controls including retention policies, standardized messaging configurations, operational recovery standards, and company-wide operational policies across the Microsoft 365 environment
- Decommissioned legacy BlackBerry infrastructure and rationalized unnecessary public folders, shared mailboxes, and distribution lists to reduce operational complexity and administrative overhead
- Validated and tested marine transportation and operational applications dependent on Outlook and Exchange Online to ensure operational continuity across corporate and vessel operations
- Implemented Exchange Online Archiving, operational recovery procedures, backup validation standards, and structured support processes aligned to enterprise communication and business continuity requirements
- Delivered structured training and knowledge transfer to regional support staff and end users covering Microsoft 365 administration, Active Directory management, operational support procedures, operational recovery processes, and service management practices
